Cancellation & Refund Policy

Standard cancellation

For tours, discovery flights, and pre-booked training lessons, the cancellation window from your scheduled departure determines what you can recover.

Free reschedule allowance: one free reschedule per booking with more than 48 hours' notice. Inside 48 hours, we'll work with you when our calendar permits.

Weather cancellations

The Pilot-in-Command has sole and final authority over weather-related go/no-go decisions. VFR scenic flying needs ceilings well above the legal minimums and visibility better than 5 statute miles for the experience to be worth the price. We will not push weather, even if it means rebooking your special-occasion flight.

If the pilot calls a weather scrub, you will receive a text and email approximately 4 hours before your scheduled departure (sometimes sooner if a frontal system is obvious overnight). You then choose: free rebook on the next available slot, or full refund to your original payment method within 3 business days.

No-shows & late arrivals

No-show

If you don't arrive at Harris Airport (83K) by your scheduled departure time and we have not received word, your booking is forfeit. We hold the aircraft for the slot duration; the cost of the unflown slot is non-recoverable.

Late arrival

If you call ahead to let us know you're running late, we may be able to shorten the flight within your slot and any buffer time, at no fee. We cannot extend into the next slot. If the lateness exceeds our buffer, the flight becomes a no-show.

Discovery flights

The Discovery Flight ($249) is a prepaid experience. Standard cancellation tiers above apply: 48-hour full refund, 24–48 hour 50% credit, less-than-24-hour forfeit, weather always rebook/refund.

Counts toward training: if you enroll in our Part 61 training program within 30 days of your discovery flight, the half-hour of Hobbs time and ground briefing time is credited toward your PPL-H minimum-hour requirement, and the $249 is credited toward your first training block invoice.

Flight training lessons

Training lessons are billed at $750 per Hobbs hour for in-aircraft instruction and $75 per hour for ground instruction. A $750 deposit (one Hobbs hour) is required at booking via Stripe and credits toward the lesson's total cost.

Deposit refundability

• More than 48 hours' notice: deposit refunded in full, or roll to your next lesson.
• 24 – 48 hours' notice: deposit holds as credit toward a future lesson within 90 days.
• Less than 24 hours' notice or no-show: deposit is forfeit. The lesson is logged as conducted-not-flown for instructor scheduling.
• Weather: deposit always rolls to the next available slot or refunds in full, at the student's election.

Day-of billing

After the lesson, the actual Hobbs reading and ground time are tallied. Your $750 deposit is applied. Any balance is invoiced via Stripe Payment Link within 24 hours; any credit (if your lesson ran shorter than the deposit covered) is held as credit toward your next lesson, not refunded automatically.

Scenic tours

Scenic tours (Quick Lift, Lake George Sampler, Sunset Tour, Foliage & Lakes, High Peaks Grand) begin July 13, 2026 and are now booking. The standard cancellation tiers above apply to tour bookings. Foliage-window (Sept 21 – Oct 17) and Sunset Tour slots may carry a tighter rebook policy due to limited inventory.

Gift cards

NCHF gift cards are valid 24 months from purchase date and are non-refundable once issued. Gift cards are transferable to a different recipient before redemption. Unused balance after expiration cannot be redeemed or extended.

Gift cards may be applied to any tour, discovery flight, or training lesson. If a flight booked with a gift card is weather-cancelled, the gift-card balance is restored.

Group bookings & buyouts

Bookings of four or more flights from a single party (corporate retreats, weddings, family reunions) require 7 days' notice for full refund. Inside 7 days but more than 48 hours: 50% credit. Inside 48 hours: forfeit. Weather cancellations always result in full refund or rescheduling at no charge.

A 25% non-refundable deposit secures the group booking; the balance is due 14 days before the event.

How refunds are processed

• Refunds are issued to the original payment method. We cannot redirect refunds to a different card or bank account.
• Stripe processes most refunds in 5 – 10 business days. We submit refund requests within 3 business days of the cancellation.
• Stripe's processing fee (~3% of the original transaction) is generally absorbed by NCHF on full refunds; for partial refunds, it is shared proportionally.
• If your refund has not posted to your account 14 days after our submission, contact info@flyheliadk.com with your booking reference and we will trace it with Stripe.

Disputes are resolved in good faith, in writing, and (where required) under the laws of the State of New York. Chargebacks issued without first contacting us are forfeit-eligible per Stripe's terms; please give us a chance to make it right first.
